01 Before you start

What it is, and who it is for.

What is NiroStay?

A property management system for Nigerian hospitality: reservations, a unit-by-date calendar, guest profiles, folios and payments, VAT and tax documents, housekeeping, maintenance, a direct booking site, enquiries and reports. It is one product with one database, not a bundle of separate tools.

Who is it for?

Serviced apartments, boutique hotels, short-let portfolios and small multi-property groups — roughly 5 to 150 units. It is not built for a 300-room chain with a central reservations office, and we say so on the comparison page.

Who is behind it?

NiroStay is a product of 34orients Ltd, a software company incorporated in the UK with an office in Nigeria. The people who build it also run the walkthroughs and the onboarding — there is no reseller between you and the team.

Do we need our own website?

No. Every plan includes a branded booking page served at your organisation's address, with your name, colours and contacts. If you already have a website, link to it; on Portfolio you can point your own hostname at the booking page.

Can we import our existing bookings?

We map units and rate plans with you and bring in the stays that matter for the go-live window: arrivals, departures and open balances. A full historical migration is a larger piece of work and is scoped in writing rather than promised on a call.

How long does onboarding take?

Days, not quarters, for a single property. We map the units and rate plans, load a window of rates, open the booking page, invite the team and rehearse one arrival and one checkout. A group with several buildings takes longer because there are more rooms to agree about.

02 Running the desk

The Tuesday questions.

What happens when the internet drops?

Housekeeping was built for a weak signal: a completed clean or a recorded payment is queued on the device and retried with an idempotency key, so it cannot apply twice. The rest of the console needs a connection and says when it has lost one. A night audit is not something we pretend works offline.

Can two receptionists double-book the same room?

No. Availability is enforced by a database constraint on overlapping assignments, not by a warning in the interface. Two requests for the same unit and night end with one confirmation and one refusal.

Can different staff see different things?

Yes. Owner, manager, front desk, finance and housekeeping see what their job needs, and property access can be narrowed per person. Every sensitive action is attributed to the person who took it.

Does it work on a phone?

The console is responsive and housekeeping is designed touch-first. There is no native app yet; the web app works today, and a native shell is on the roadmap rather than in the App Store.

Will the desk know something needs attention?

Yes. The notification bell is derived from the rows themselves: arrivals and departures today, overdue cleaning, blocked units, unanswered enquiries, failed email and plan limits. Fix the underlying thing and the notification disappears — there is no second copy to go stale.

Can guests ask a question before booking?

Yes. The booking page has an enquiry form; the question lands in the console with the stay it is about. A reply is emailed from the property's own identity and kept in the thread, so the next shift can read what was promised.

Can we log a question that came by phone?

Yes. “Log an enquiry” records the property, contact details, stay dates, source and the question, then behaves exactly like one from the website — including the reply thread and the status.

03 Money & tax

Where the numbers have to agree.

Do you take a commission on our bookings?

No. Not on a booking from your own website and not on one taken at the desk. Card processing is charged by Paystack at their rate; we do not add a spread, and the subscription is the only line on our invoice.

How do online payments work?

Connect your own Paystack merchant account, choose a deposit or the full stay, and the guest pays on Paystack's checkout. Only a verified gateway payment counts as collected. Card details never reach NiroStay.

Can we record a bank transfer without a gateway?

Yes. Record it against its reference, with who took it and when. It moves the balance and is labelled as recorded rather than verified — the distinction matters when a guest says they paid.

How are VAT and levies handled?

Rates are stored in basis points and scoped by property and charge type. Tax lines are derived from the rules and marked as derived, so a derived line can be told apart from a hand-typed one. A period can be retaxed with a preview before anything is written.

Are invoices and receipts numbered?

Yes. Tax invoices and credit notes take numbers from your own per-organisation sequence. A credit note corrects an invoice; nothing is deleted to make a total agree.

Can we trade in more than one currency?

Yes. Properties can trade in different currencies. Organisation-wide figures are reported per currency and never added together, because a naira total of a dollar room is not a number anyone can defend.

What about refunds?

A refund comes out of the payment it belongs to, cannot exceed what remains, and needs a reason. It moves the folio balance immediately and is recorded against the person who authorised it.

04 Distribution

Your front door, and the other doors.

Are Booking.com and Airbnb connected?

Through a Channex channel-manager adapter that is built and tested against a stub provider. Live OTA accounts are onboarded property by property; we will not tell you a channel is live until a test booking has run through it. See integrations for the honest status.

Is the channel manager included?

On Growth and Portfolio. Starter is the front desk, the booking page and operations without OTA distribution. If you only sell direct and by phone, Starter is the right plan.

Can we use our own domain?

On Portfolio, yes: add the DNS record we give you, we verify it and serve the booking page at your own hostname. On Starter the page is served at your organisation's address.

Do you connect to Google Hotel Ads or metasearch?

Not today. It is a distribution product with its own economics, and we would rather not pretend a feed is a channel.

Do you send marketing email to our guests?

No. NiroStay sends transactional messages — confirmations, receipts, enquiry replies — from your identity. Your guest list is not ours to market to.

05 Billing

What you pay, and when.

How much does it cost?

₦35,000 a month for Starter (up to 10 units, one property, five staff), ₦85,000 for Growth (40 units, three properties, unlimited staff) and ₦165,000 for Portfolio (150 units, unlimited properties, own hostname and API). Enterprise is agreed per organisation. All prices exclude VAT. See pricing.

Is there a free trial?

Fourteen days with your real units, rates and team, no card. It starts when the organisation is created, not when you first open the console. If you do nothing, the trial ends and the account becomes read-only rather than being charged.

What counts as a unit?

A bookable room, apartment or suite. A unit blocked for maintenance still counts because it is still part of the inventory; a unit you archive does not. Booking sites are not a billed dimension.

Can we change plans?

Yes. Moving up during a paid period takes effect at the end of that period, so you keep what you paid for; during a trial it applies immediately. Downgrading never deletes properties or units — it asks you to archive what you no longer run.

How do we pay?

By bank transfer or card. Every payment gets a VAT invoice. Need a purchase order, a different billing address or procurement paperwork? Write to [email protected]; it is handled by a person, not a portal.

Is annual billing cheaper?

Twelve months for the price of ten — two months free. The plan and limits are identical; only the cycle changes.

What happens if we do not pay?

Nothing locks mid-shift. Reservations, check-ins and the guest booking page keep working while the commercial conversation happens. The account is not suspended without a conversation first.

06 Data, security & leaving

Your history is yours.

Where is our data kept?

Each deployment has its own database, and organisations are isolated at the row and address level. Hosting, backup frequency and retention are agreed per deployment and written into the agreement; the security page lists what is and is not claimed.

Can we export our data?

Yes. Reservations, guests, folios and reports export as CSV, scoped to your organisation and your role. The terms include a 30-day export window after termination.

What happens to our data if we leave?

You export it, and the deployment's deletion is agreed in writing. There is no exit fee and no data hostage. A guest's personal data is kept only for the purpose it was collected for while the account is active.

Are you SOC 2 or ISO 27001 certified?

No, and we do not claim to be. There has also been no third-party penetration test yet. The security page names those gaps rather than burying them, because a certificate you do not have is worse than a limit you admit.

Who can see a guest's details?

The people in your organisation whose role needs them, narrowed by property access where you set it. Sensitive actions are attributed in the audit log. We do not sell guest data or use it to market to your guests.

07 Support

Who picks up.

How do we get help?

Email [email protected] for product and operations, or [email protected] for invoices and plans. A walkthrough request gets a reply within one working day.

What support is included?

Email support on Starter, priority support and team onboarding on Growth, and a named contact on Portfolio. Enterprise support is agreed in a service-level agreement.

Do you train the team?

Onboarding includes a walkthrough for the front desk and a separate one for housekeeping. It is the same console you can try now, with your own units in it, not a slide deck.

Can we report a security issue?

Yes, and please tell us before you tell anyone else. The security page has the contact route. We will confirm receipt and keep you updated on the fix.

Still have a question that is not here?

Ask it on a walkthrough. The awkward ones are more useful than the polite ones, and if the answer is “not yet” we will say so and write it down.

Or email [email protected] — a person replies.
